2025 Family Farm Expo Vendor Agreement & Refund Policy
VENDOR REGISTRATION AND PAYMENT
All vendors must complete the online registration and pay their fee at the time of registration.
By submitting the online registration and paying for a space, vendors are agreeing to the below regulations.
REFUND POLICY
Before Venue and Dates Announcement: Full fee refunds (minus platform transaction fees) are available up to 60 days after the venue and dates for each event location are announced.
With 90 Days' Notice: All vendors can receive a 50% fee refund if requested with at least 90 days' notice before the event.
Less Than 90 Days' Notice: No refunds will be provided if requested with less than 90 days' notice before the event date.
To request a refund, please email eventsteam@roobeez.com. Our customer support team will assist you with the refund process.
If you cannot attend the Expo and would like to transfer your booth to another vendor, please contact the Roobeez team at eventsteam@roobeez.com with at least 90 days’ notice.
BOOTH SETUP & DISPLAY
Vendors are responsible for their booth setup, including tables, chairs, and decorations.
Booths should be free from safety hazards and not exceed the allocated space.
Banners, signs, and promotional materials should be professional and tasteful.
Excessive noise that disrupts neighboring vendors or event attendees is not allowed.
Vendors are responsible for maintaining a clean and tidy booth area.
TRANSACTIONS
Vendors are responsible for their own sales transactions.
WiFi may not be provided — vendors should ensure they have a way to process online payments if needed.
FOOD PRODUCTS
Vendors offering food products for sampling or sale must adhere to all health and safety regulations.
VENDOR BEHAVIOR
Vendors should conduct themselves in a professional and respectful manner at all times.
Harassment, discrimination, or any offensive behavior will not be tolerated.
SECURITY & LIABILITY
Vendors are responsible for the security of their booth and products.
Do not leave valuable items unattended.
The event organizers and venue are not responsible for any loss, damage, or injury.
COMPLIANCE WITH LAWS
Vendors must comply with all local, state, and federal laws and regulations.
All products must be legal and in compliance with local and state regulations.
Any violations may result in expulsion from the event.
DEPARTURE & CLEANUP
Vendors must not dismantle their booth or leave the event before the designated closing time.
Cleanup should be completed promptly after the event's conclusion.
Trash receptacles may not be provided, vendors must plan to pack out all trash.
VIOLATION CONSEQUENCES
Violation of any vendor rules may result in expulsion from the event without a refund.
EVENT SPECIFICS
Vendors should be aware of any additional rules or guidelines specific to their Family Farm Expo venue. If needed, venue-specific rules and guidelines will be distributed via email.
COMMUNICATION
The Roobeez team will primarily contact vendors via email, at the email address submitted with their vendor application.
Vendors are responsible for checking their email and ensuring communications are read.
If a vendor feels they are lacking information, it is their responsibility to reach out to the Roobeez team at eventsteam@roobeez.com.
